Outlook Integration

User documentation for the Xila Outlook integration used by Xila Calendar. This guide covers connecting Microsoft Outlook via Microsoft Graph, calendar sync and Teams meeting links, disconnecting, and revoking access. Xila is not a Microsoft product — you authorize Microsoft from Xila Calendar so calendars can sync and Teams join links can be created on your Microsoft account.

Connecting Outlook

Users connect Outlook from the Xila website. Follow these steps:

  1. Log in to your Xila account at https://xila.io/auth/signin.
  2. Open Xila Calendar (https://xila.io/workspace/calendar).
  3. Click Settings (gear icon) → open the General section.
  4. Under Outlook / Microsoft, click Connect Outlook (or equivalent Connect control).
  5. You are redirected to Microsoft's OAuth consent screen. Sign in if needed, review the requested permissions, and approve.
  6. Microsoft redirects you back to Xila Calendar Settings. Confirm Outlook shows as Connected.

Microsoft Graph permissions requested on connect

  • offline_access — obtain refresh tokens so the connection can stay valid
  • User.Read — identify your Microsoft account after connect
  • Calendars.ReadWrite — read and write calendars and events for sync
  • OnlineMeetings.ReadWrite — create Microsoft Teams online meetings / join URLs when you choose Teams

Usage

After Outlook is connected, Xila can sync calendar events with Microsoft Graph and create Teams meeting join links when you schedule video events with Teams as the provider.

Use case 1 — Calendar sync

  • Prerequisites: Active Xila account; Outlook connected in Calendar Settings.
  • Steps: Keep Outlook connected; use Xila Calendar normally. Events you create or update may sync according to your calendar settings.
  • Result: Calendar and event data are read and written via Microsoft Graph under the permissions you approved.

Use case 2 — Create an event with a Teams meeting link

  • Prerequisites: Outlook connected; a Microsoft account that can create online meetings.
  • Steps: In Xila Calendar, create a new event → set location type to Video → choose Teams / Microsoft as the provider → Save.
  • Result: Xila uses Microsoft Graph to create an online meeting and stores the Teams join URL on the event.

Disconnecting and Revoking Access

You can disconnect Outlook from Xila and/or revoke Xila's access in your Microsoft account. For a full removal, do both.

A. Disconnect in Xila (recommended first)

  1. Open Xila Calendar → Settings.
  2. Click Disconnect Outlook (or equivalent) and confirm.
  3. Xila revokes or deletes the stored OAuth tokens and removes your Calendar Outlook connection. Outlook will no longer sync or create Teams links until you connect again.

B. Revoke access in your Microsoft account

  1. Sign in to Microsoft and open app permissions, for example account.microsoft.com privacy / app access or your organization's My Apps portal.
  2. Find Xila (or the app name shown at consent) and remove / revoke access.

Implications of disconnect / revoke

  • Xila cannot sync Outlook calendars or create new Teams meeting links until you connect again.
  • Existing Xila calendar events may still display previously saved Teams join URLs or synced details.
  • Meetings already created in Microsoft Teams remain on your Microsoft account until you remove them there.

How we handle / remove your data

  • On Disconnect in Xila (or after Microsoft de-authorization processing), we delete or make unusable the Microsoft OAuth access token and refresh token stored for your profile's Calendar Outlook connection.
  • We do not sell Microsoft account data.
  • Synced event records on Xila remain only while required for the service or legal obligations; disconnect does not automatically wipe past Xila calendar events. Delete those events in Xila if you want them removed.

Data Handling

  • Microsoft OAuth tokens are stored encrypted at rest and transmitted over encrypted connections.
  • Outlook / Microsoft Graph data obtained through this integration are not used for advertising and are not used to train generalized AI or machine learning models.
  • Legal commitments for connected calendar providers are in our Privacy Policy.

Troubleshooting

  • Denied consent: Outlook is not connected. Click Connect Outlook again and approve the permissions.
  • OAuth / redirect errors: Production redirect URI for this app is https://xila.io/api/calendar/microsoft/callback. Use https://xila.io (not localhost) for production connect.
  • Permissions changed / sync or Teams create fails: Disconnect Outlook in Xila, then Connect again so a new token is issued with current Graph permissions.
