User documentation for the Xila Zoom integration used by Xila Calendar. This guide covers adding the app, using each feature, and removing the app from your Zoom account. Xila is not built by Zoom and is not a Zoom Client app — you authorize Zoom from Xila Calendar so meeting join links can be created on your Zoom account.
Adding the App
Users add this integration from the Xila website (not by installing a Zoom Client plugin). Follow these steps:
- Log in to your Xila account at https://xila.io/auth/signin.
- Open Xila Calendar (
https://xila.io/workspace/calendar). - Click Settings (gear icon) → open the General section.
- Under Zoom, click Connect Zoom.
- You are redirected to Zoom’s OAuth consent screen. Sign in to Zoom if needed, review the requested permissions, and click Allow / Approve.
- Zoom redirects you back to Xila Calendar Settings. Confirm Zoom shows as Connected.

Usage
After Zoom is connected, Xila can create Zoom meeting join links when you schedule video events or Zoom-enabled bookings. Meetings are hosted on your Zoom plan.
Use case 1 — Create a calendar event with an automatic Zoom link
Use case: Host a video call from Xila Calendar without pasting a Zoom URL by hand.
- Prerequisites: Active Xila account; Zoom connected in Calendar Settings; a Zoom account that can create meetings via Zoom’s Meetings API (plan limits apply on Zoom’s side).
- Steps: In Xila Calendar, create a new event → set location type to Video → choose provider Zoom → leave the meeting URL field empty → Save.
- Result: Xila calls Zoom to create a scheduled meeting and stores the join URL on the event (typically
https://zoom.us/j/…). You can also confirm the meeting under Meetings in the Zoom web portal.
Use case 2 — Public booking with Zoom
Use case: Guests book a slot on your public booking page and receive a Zoom join link generated from your connected Zoom account.
- Prerequisites: Zoom connected; a public booking / event type configured to use Zoom as the video provider.
- Steps: Guest opens your booking page → selects an available slot → completes the booking.
- Result: Booking confirmation and the host calendar event include a Zoom join link created on the host’s Zoom account.
Use case 3 — Delete a calendar event that has a Zoom meeting
Use case: Remove a scheduled Xila event and the linked Zoom meeting when a Zoom meeting id was stored.
- Prerequisites: Zoom still connected; event was created with an automatic Zoom link.
- Steps: Open the event in Xila Calendar → Delete.
- Result: Xila may delete the corresponding Zoom meeting when a provider meeting id is on file. The Xila event is removed.
Removing the App
You can disconnect Zoom from Xila and/or remove the app from your Zoom account. For a full removal, do both.
A. Disconnect in Xila (recommended first)
- Open Xila Calendar → Settings.
- Click Disconnect Zoom and confirm.
- Xila revokes the stored OAuth tokens and removes your Calendar Zoom connection. Zoom will no longer be used to create new meeting links until you connect again.
B. Remove the app from your Zoom account (Zoom Marketplace)
- Log in to your Zoom account and open the Zoom App Marketplace.
- Click Manage → Added Apps (or open Installed apps), or search for Xila.
- Select the Xila app.
- Click Remove. Optionally choose a reason, then confirm Remove.
Implications of de-authorization / removal
- Xila cannot create new Zoom meetings for your profile until you add/connect the app again.
- Existing Xila calendar or booking events may still display previously saved Zoom join URLs.
- Meetings already created on Zoom remain on your Zoom account until you delete them in Zoom (or until you delete a linked Xila event that still has a Zoom meeting id, which may delete that Zoom meeting).
- After disconnect, scheduling Video → Zoom without a custom URL will show an error asking you to reconnect Zoom or paste a meeting URL.
How we handle / remove your data
- On Disconnect in Xila (or after Zoom de-authorization processing), we delete the Zoom OAuth access token and refresh token stored for your profile’s Calendar Zoom connection.
- We do not retain Zoom credentials after disconnect. We do not sell Zoom account data.
- Event titles, times, and previously saved join URLs that already appear on Xila calendar events are part of your Xila calendar data; removing Zoom does not automatically wipe past event records. Delete those events in Xila if you want them removed.
App-specific requirements: This integration is used only from Xila Calendar / booking flows on xila.io. You must have a Xila account to connect. Meeting creation uses your Zoom user OAuth tokens (not a shared Xila Zoom host). Zoom plan limits (for example meeting duration on Free plans) are enforced by Zoom, not by Xila.
Data Handling
- Zoom OAuth access and refresh tokens are stored encrypted at rest and transmitted over encrypted connections.
- Zoom account and meeting data obtained through this integration are not used for advertising and are not used to train generalized AI or machine learning models.

Troubleshooting
- Denied consent: Zoom is not connected. Click Connect Zoom again and approve the permissions.
- OAuth / redirect errors: Production redirect URI for this app is
https://xila.io/api/calendar/zoom/callback. Use https://xila.io (not localhost) for production connect. - Scopes changed / “invalid scope” / meeting create fails: Disconnect Zoom in Xila, then Connect Zoom again so a new token is issued with current scopes.
- No join link on save: Confirm provider is Zoom, the URL field is empty (so Xila creates one), and Zoom still shows Connected. Check your Zoom plan can create meetings.
- Still stuck: Create a support case or email support@xila.io.
